TEXT 2 Document Specialist’s Duties Read the text and say what it makes to be a good document specialist. Describe types of documentation professions and speak about the duties of a document specialist. A document specialist works in technical, educational, government, business industries. There are no educational requirements for most document specialist jobs, though some may require a bachelor's degree related to the industry. A document may be electronic records, written sources, manuals, multimedia products. Document specialists must have a working knowledge of the industry, writing and word processing, desktop publishing skills and some industries require bilingual skills. A document specialist working as a technical writer is responsible for creating and delivering a comprehensive message to the select audience. Technical document specialists manage the flow of information to help improve products or services. The electronic document specialist is responsible for the process involved in the development of security, maintenance and disposition of electronic records for a school district or government. Document specialists working as desktop publishers use software to produce a variety of publications, for instance newsletters, catalogs, menus, magazines, utilizing a variety of pictures and text formats. Evaluate Audience. No matter what career field you are in, one of the most important aspects of any document specialist's job is to evaluate the audience that will receive the documents. This is important because the information needs to be intelligible and applicable to the audience receiving it. For example, if the audience possesses technical knowledge of the field, you will not need to explain terminology, but if they are laypeople, it is important that you provide definitions in your document. Design Document. Creating the document is another important aspect of this job. Document specialists do all the writing and then turn it into the best communication device they can. This means that they may combine other media and technology with writing. A document specialist may add graphs, drawings, music or video to enhance the message of the document. They decide if the best form is a plain written document or some other type of communication, such as an email or presentation. Release Documents. Creating a document does no good if no one ever receives it. Document specialists are responsible for getting documents into the right hands, whether this means by email, press release or information packet. Final Evaluation. After distributing the documents, a document specialist evaluates the effectiveness of the communication. They do this by submitting surveys to the recipients or looking at customer service reports. This information is valuable because it enhances future documents, when it is studied and the conclusions are taken into account. Job Outlook.
